Note of Caution

Computers and web servers are mysterious creatures that have a habit of destroying your hard-earned work, so it’s a good idea to save your work at the beginning and then do most of the input in the edit mode. To assure that your record is saved, INSERT the record with minimal information, which saves the record, and then complete date entry using the EDIT function. 

Getting Started

Explore

Enter the database (Show All Records) and look at the records that have already been entered. Hit the Search link, and sort by a Name or Watershed Council. At the bottom of this screen, CLICK the Export to Excel File, and download the file to your computer, rename it as a Test, and adjust the column widths.

Switch to the Citations records, and check out what information sources have already been cited. And also note the format used for citations.

Click on all the navigation links in the Navigation Bar to see what they do.

Practice

On the Insert New Record Page go to the list of HUCs. At the very top is a "Practice" entry. Use this to practice entering some data.

Call us

Call the consultant team contact and we can walk through data base entry together while viewing the same screens.

Organize

To enter data, you will want to have information sources at your finger tips including the. 1) Source Documents, and 2) Copy of the List of Indicators and Criteria. Remember that you can always come back and edit a record.

Inserting a New Record

The 5 th field HUC scale is the default entry for this project. 6 th fields are provided for those who want to enter data at a finer scale. WPN will summarize this information to the 5 th field HUC for reporting to OWEB. Some notes on this screen.

ADDED BY = Enter your name for each record.

ORGANIZATION = Drop down menu

5th/6th FIELD HUC = Choose the Field for your organization only. Caution. Access to selecting a HUC is not controlled – please be careful in selecting the correct HUC.

MID-COAST 6th FIELDS = This field is only applicable to the Mid-Coast Watershed Council

RATING

Each Indicator is rated, is not rated due to insufficient information, or is not applicable.

Indicators are rated by a combination of three conditions: Indicator Rating (Limiting, Moderate, Adequate), Confidence Rating (High, Moderate, Low), and Variability Rating (High, Moderate, Low). Variability refers to the heterogeneity within the 5th Field HUC. (If information is entered at the 6th field HUC, it is preferable to attempt to assign an Indicator Rating tht applies to the entire HUC, that is the Variability rating is low. The Variability rating can then be used to describe the relative heterogeneity when the 6th field data is summarized to the 5th Field scale.)

Insufficient Information. This is the default selection if the Indicator applies within the HUC, but there is not sufficient data to establish a rating.

Not Applicable. n/a is the default placeholder in the database. It should only remain in the record where the indicator clearly is not applicable. For example, leave “n/a” as the default for Estuarine factors when there is no Estuary in the HUC.

RATIONALE

The rationale should indicate the reason for the rating, the source of information, and the variability of this rating within the 5th Field HUC. Variability is summarized as High, Moderate, and Low. The statemement below illustrates an example of these three components - narrative, source, and variability.

Example:

Invasive aquatic species have not been identified as an problem in this HUC (EDT database, 2004). Variability = Low

For 5th field HUC reporting, rate the variability within the 5th field HUC. This will be useful for summarizing the information for the report to OWEB. For 6th field HUC reporting, the variability can be derived from the ratings of the 6th field HUCs within the 5th field, and will be completed as part of the summary for OWEB.

From the Records Page, the individual record can be edited, deleted, or viewed.

VIEWS the record

CAUTION!! Anyone using the database can delete any record. Please be careful!

Search for Records

CLICK on the navigation link at the bottom of the page.

Search

Search allows one to search and sort the records by Added by, Organization, or HUC. This is a good way to view only the records for your organization, and then work within that set.

Last Search

Returns to the last search.

Literature Cited

From the Home Page, CLICK on the Literature Citations link.

Or, From the database, CLICK on Show-all. At the top of the page, switch between “Limiting Factors” and “Citations”.

Fill in the Author, date, Title, publisher, and link to the material if available. In the Rationale, use a consistent citation method.

For example:

Lterature Cited = ODFW, 2007. Oregon Coast Coho Conservation Plan for the State of Oregon, ODFW, Salem, Oregon.

Format as used in the Rationale Box = (ODFW 2007)

Use commonly understood abbreviations for agencies (ODFW, ODOQ, ODA, EPA, etc.) rather than spell them out.

Creating a Backup

After Searching & Sorting, you can save a copy of your own data as a backup.

At the bottom of the Records page, CLICK on Export to CSV. Click Save, select a folder, and rename the file name.

The .csv file will open into Excel (version 2003) when you click on the file.

Fix the Column Width: Select all the columns (& rows) by clicking on the top-left cell. Scroll over Column A until the pointer changes into the cross symbol, then Click. All the columns will expand with one operation.

Save as Excel 2003 (xls) format.
